4 Challenges in Education Verification and Their Solutions

By 27 March 2024 Articles

Performing education verification is a crucial step in fulfilling various professional needs, ranging from job applications to validating competencies, or even for personal needs when individuals want to pursue further education.

This process cannot be taken lightly as it involves checking various documents such as diplomas, transcripts, and even the accreditation of the issuing institution.

For companies, education verification stands as an integral part of pre-employment screening, playing a highly essential role in the recruitment process. Not only in the business realm, universities also frequently require verification of previous education when admitting new students.

The availability of publicly accessible databases allows education verification to be done independently. However, conducting this process independently also poses several challenges.

Challenges of Education Verification

1. Time Constraints. Recruiters in companies are generally expected to complete the document verification of prospective employees within a short time frame. However, two main factors can slow down the verification process. First, when the candidate’s data is not available in public databases, it requires direct confirmation from the institution that issued the degree.

Second, in some cases, discrepancies are found between the information provided in the documents and what is available on public websites. This necessitates further verification through the institution that issued the document. The complexity increases if the institution is located abroad, uses a different language, and has significant time differences.

2. Cost Efficiency. When conducting verification independently, companies need to allocate more human resources to the task. This inevitably leads to increased operational costs.

3. Quality and Detail. Besides dealing with time constraints and budget limitations, the verification process becomes crucial for ensuring the accuracy of data on the documents, including names, dates of birth, and grades, aligning with the information available at the educational institution. If discrepancies arise, further verification is usually necessary

4. Personal Data Security. The risk of personal data security during the verification process is a significant challenge. These risks encompass potential data leaks that could be exploited. Therefore, it’s crucial to ensure that personal data is solely utilized for verification purposes and subject to strict access limitations.

The verification process can only commence after obtaining a consent letter from the individual as the data owner. Without this consent, the verification process as part of the candidate’s background check framework cannot be carried out.

One-Stop Platform Solutions

One solution that can address the above challenges is to conduct degree verification through the Education Verification platform. This one-stop platform features user-friendly functionalities with ISO 27001 security standards, streamlining the verification process.

  • Result Expected Within Specified Timeframe

Clients only need to submit a verification request through the platform by uploading several required documents, in accordance with the Personal Data Protection Law. The verification results will be issued within two to five business days.

  • Personal Data Security

The platform requires a consent letter from alumni or prospective candidates before the verification process begins. In adherence to the ISO 27001 standard, the platform also manages data retention in accordance with regulations.

  • Accuracy and Accountability

The platform not only prioritizes speed but also upholds accountability through a two-step verification process: initial verification by staff followed by confirmation by a supervisor from the issuing institution. This encourages a check-and-balance process which is crucial in this process.
